S801 Party Contacts List - Individual

 

Purposes:

 

This screen allows the MIMS user to create new contacts and to inactivate existing contacts for parties.

 

Prerequisites:

 

1.       MIMS user must have applicable security authorization to access this screen.

            The following groups have access to this panel:

Party è Searchè Hyperlinkè Contacts

 

Procedure:

 

1.       Select the Party Tab.

2.       Enter MEP File Number in the ‘File Number’ field and click the ‘Search’ button.

3.       If MEP File Number is unknown, enter information in one or more of the other fields (such as ‘Last Name’) and click the ‘Search’ button.  Click on the hyperlink ‘File Number’, this will take you to the File Tab. Click on the Party Tab and the MEP File Number will automatically be placed in the ‘File Number’ field. Click search.

4.       Click on the hyperlink ‘Party Number’.

5.       Select ‘Contacts’ tab located in the middle of the screen.

6.       Click on the ‘Authorized’ box to authorize the new contact to obtain information on the file.

7.       Select the appropriate ‘Relationship’ for the new contact from the drop down list.

8.       Enter the name for the new contact in the field labeled ‘Name’ and enter contact details in the big white box.

9.       Click ‘Save’ button.

10.   The new contacts just entered will appear in the ‘Current Party Contacts’ area.

Inactive or Delete Contacts

1.       Click on the box under the Inactivate or Delete column making sure that you have selected the right contact person.

2.       Clicking on Delete will erase all a contact’s information from the Current Party Contacts list.

3.       Click the ‘Save’ button to update the changes.

New Party Contact 

Authorized

The creditor or debtor has authorized MEP to discuss file with new contact. Field is not mandatory.

Relationship

Select from the drop down box to select the correct relationship of the new contact.

Field Is mandatory.

Name

Enter the name of the contact.

Field is mandatory.

Contact Text

Enter any relevant information (i.e. phone number, addresses) regarding the contact person.

Field is mandatory.  Field length maximum 2000 characters.

Click the ‘Save’ button to save all data entered in the New Party Contact fields..

Current Party Contacts  - The system all current contacts for the party sorted by Contact and Create Date in descending order displaying active authorized first.

Contact Text

Contains information regarding the contact selected.

Created by

User ID of the user who created the Contact.

Create Date

The date that the contact was created.  Displays in YYYY-MM-DD format where Y = Year, M = Month, D = Day.

Inactive

When this option is selected, the contact will be inactivated and the current date will appear on the screen under the ‘Inactive’ heading

Delete

When checked and saved, the contact is deleted from the database.

A Confirmation message will be displayed to confirm deletion.

Click the ‘Save’ button to save all data entered in the Current Party Contact fields.
